SYNAPSE LOGISTICS LTD is the data controller for personal data processed through this website and through the provision of freight, warehousing, and supply chain services.

We are registered and operate under the laws of the United Kingdom. All data processing activities are governed by the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. Data We Collect

We collect only data that is operationally necessary. This includes: contact details (name, business email, telephone number); shipment data (origin, destination, cargo description, consignee details); and site usage data (pages visited, session duration, browser type) via anonymised analytics.

We do not collect sensitive personal data, financial account credentials, or data from individuals under the age of 18. No personal data is sold or licensed to third parties for commercial purposes.

3. How We Use Your Data

Contact details are used to respond to enquiries, manage service agreements, and communicate operational updates related to active shipments. Shipment data is used to execute freight coordination, customs documentation, and carrier instructions.

Site usage data is used in aggregate to improve website performance and content relevance. We do not build individual behavioural profiles for advertising purposes.

4. Legal Basis for Processing

Processing of contact and shipment data is carried out under Article 6(1)(b) UK GDPR — necessary for the performance of a contract — and Article 6(1)(c) — compliance with legal obligations including customs and trade regulations.

Website analytics are processed under Article 6(1)(f) — legitimate interests — where those interests are not overridden by your rights. You may object to this processing at any time.

5. Data Retention

Contact enquiry records are retained for 24 months from the date of last correspondence. Shipment and transaction records are retained for 7 years to satisfy HMRC and customs audit requirements.

Anonymised site analytics data is retained for 13 months on a rolling basis. Upon expiry of any retention period, data is securely deleted or irreversibly anonymised within 30 days.

6. Your Rights

Under UK GDPR you have the right to: access a copy of the personal data we hold about you; request correction of inaccurate data; request deletion where no legal basis for continued retention exists; restrict or object to processing; and receive your data in a portable format.

Subject access requests are fulfilled within 30 days of receipt. To exercise any right, contact us at support@synapselogistics.com with the subject line SAR Request. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

7. Third Parties

We share shipment data with carriers, port agents, and customs brokers only to the extent required to execute a specific freight instruction. All third-party processors are subject to data processing agreements aligned with UK GDPR requirements.

Where data is transferred outside the UK, we rely on adequacy decisions or standard contractual clauses to ensure an equivalent level of protection. No personal data is transferred to jurisdictions without an appropriate legal mechanism.

This website uses strictly necessary cookies to maintain session state and security. With your consent, we also set analytics cookies to measure aggregate page performance. No advertising or cross-site tracking cookies are deployed.
